  • Personal information such as your name, email address, phone number, department or agency affiliation, rank, experience level, promotional goals, and account login credentials.
  • Training and usage data, including simulation activity, responses, practice questions, written submissions, interview prep responses, coaching interactions, progress tracking, and performance metrics.
  • Files and document data you upload for training, including personal files, department shared files, and admin-managed knowledge files used to support platform training experiences.
  • AI and support interaction data, including AI chat messages, support chat prompts, support tickets, department inquiries, and relevant excerpts from uploaded documents that may be used to ground AI-generated responses.
  • Transactional data related to subscriptions or services, including payment-related details processed securely through Stripe, subscription status, billing history, coach booking details, and related payment reference data.
  • Address lookup and contact data, including address text or place identifiers submitted through location lookup features and contact information submitted through support or department inquiry forms.
  • Usage data collected automatically, including IP address, device and browser type, pages visited, features used, and dates and times of access.
  • Limited browser-stored data, such as incomplete signup or profile information saved locally in your browser so you can continue where you left off.
  • Cookies and similar tracking technologies used to improve user experience, understand usage patterns, and enhance platform performance.

3. How We Use Your Information

We use your information to:

  • Operate and provide the Services, including simulations, training modules, subscriptions, and coaching features.
  • Personalize training content, scenarios, and recommendations based on your activity, profile, and goals.
  • Generate grounded AI responses using your messages and, when relevant, excerpts from your personal files or your department's shared training files.
  • Route support requests, department inquiries, and coaching or billing follow-up to the right team members and service providers.
  • Send account updates, training notifications, coaching-related communications, and promotional messages that you may opt out of at any time.
  • Analyze usage to improve platform performance, content quality, and the overall user experience.
  • Comply with applicable law, enforce our terms, and protect the integrity and security of the platform.

4. Data Sharing and Disclosure

We do not sell your personal information. We may share information in the following circumstances:

  • With trusted service providers such as Supabase for database and infrastructure services, Stripe for payment processing, OpenAI or other AI providers for AI-powered responses, Google Places or similar mapping providers for address lookup, and hosting or operational providers that support the platform.
  • With email delivery providers when needed to send account, billing, support, coaching, or department inquiry communications.
  • With coaches or coaching marketplace participants when reasonably necessary to facilitate sessions, scheduling, and coaching communication. Coaches are expected to maintain confidentiality.
  • With users connected to the same department when you upload files to department shared storage. Department shared files are intended as shared training context and should not be treated as confidential storage.
  • When required by law, legal process, or government request, or when necessary to protect rights, safety, property, users, or the platform.
  • In connection with a merger, acquisition, financing, reorganization, sale of assets, or other business transfer involving the platform.

5. SMS and Text Messaging

If you provide your phone number, you may receive account alerts, training reminders, coaching notifications, and optional promotional messages.

You can opt out at any time by replying STOP. Message frequency varies, and standard carrier messaging and data rates may apply. We do not sell your phone number.

6. Data Security

We implement reasonable administrative, technical, and organizational safeguards designed to protect your data. However, no method of transmission or storage is completely secure, and you provide information at your own risk.

7. Data Retention

We retain personal information only for as long as reasonably necessary to provide the Services, maintain records, comply with legal obligations, resolve disputes, and enforce our agreements.

Different categories of data may be retained for different periods depending on account activity, support history, billing obligations, coaching operations, security needs, and lawful business requirements.
